The Director of Clinic Operations is responsible for leading the operational and administrative functions of clinic-based services, ensuring high-quality patient care, regulatory compliance, and team collaboration. This role oversees multi-site outpatient clinic operational and system quality, staff development, financial performance, process improvement, and system-wide alignment to support the long-term growth and success of the organization.

Essential Responsibilities and Tasks: 

  • Leadership & Operational Alignment
    • Champion the CCPSA culture of teamwork and shared values, fostering a collaborative environment across all teams.
    • Align clinic operations with organizational goals to ensure long-term sustainability and strategic growth.
    • Identify and implement opportunities for continuous improvement, innovation, and enhanced patient satisfaction.
    • Develop and monitor key performance indicators (KPIs) to evaluate operational success and support data-driven decision-making.
    • Proficient in data acquisition, analysis and presentation.
    • Collaborate with practice physician leadership to develop, deploy and maintain operational infrastructure and systems to excel in patient service and access.
  • Team Management & Development
    • Build and maintain strong, positive communication with clinical and administrative staff, including Physicians, APPs, RNs, RTs, MAs, Health Information Specialists, and Patient Care Coordinators.
    • Oversee the recruitment, hiring, onboarding, and training of clinic staff personnel in collaboration with the Clinic and HR Managers.
    • In partnership with internal HR leadership, manage ongoing performance evaluation and professional development to ensure alignment with individual and organizational objectives.
    • Lead internal communication efforts and facilitate regular clinic operations team meetings.
  • Operational Leadership and Administration
    • Oversee and collaborate with the Clinic Manager to ensure efficient, high-quality clinical operations across all locations.
    • Develop and deploy patient access solutions to meet demand of growing and expanding practice and patient needs
    • Establish and maintain office scheduling, policies, and procedures to optimize workflows and resource use.
    • Oversee supply chain management, including capital equipment needs, purchasing decisions, and vendor management.
    • Manage IT infrastructure related to EMR (EPIC), phones, fax, printers, and other clinical systems and platforms.
    • Act as an operational and engagement relationship manager to internal clinical research program.
    • Coordinate facilities management and EMR vendor relationships to support ongoing operational excellence.
  • Financial Support
    • Participate in financial oversight, including revenue and expense management, cost containment strategies, and practice growth initiatives.
    • Assist with payroll processes for clinic staff and ensure proper tracking of time and attendance.
  • Regulatory Compliance & Risk Management
    • Maintain up-to-date knowledge of and ensure compliance with State, Federal, OSHA, and HIPAA regulations to promote patient and employee safety.
    • Ensure all staff are trained and compliant with relevant healthcare laws and guidelines.

Skills, Education and/or Work Experience Requirements: 

  • Bachelor’s degree in Healthcare Administration, Business, Operations, Nursing, or related field required.
  • Master’s degree in related fields preferred but not required.
  • Minimum of 3-5 years of operational leadership experience in a multi-site ambulatory clinic setting.
  • Experience managing multidisciplinary teams in a healthcare setting.
  • Demonstrated success in optimizing and implementing operational process improvements and achieving performance goals.
  • Strong leadership and team-building abilities.
  • Excellent interpersonal, verbal, and written communication skills.
  • Strategic thinking and problem-solving capabilities.
  • Proficiency in electronic medical records (EMR) systems, preferably EPIC.
  • Knowledge of healthcare regulations (HIPAA, OSHA, State/Federal compliance).

Physical Requirements: 

  • Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA and other federal, state and local standards.
  • Ability to drive between clinic locations for meetings.
  • Ability to sit for extended time periods.
  • Must be able to lift and carry up to 30 lbs.
  • Must be able to talk, listen and speak clearly on telephone.
